IADA participant guide

Before You Submit: An IADA Entry Checklist

Before you leave your IADA participant account, confirm that the right project is paid, its materials are saved and its status is Submitted. These are separate checks. An account, an unpaid registration or a payment receipt is not by itself a completed project submission.

Understand the three checkpoints

1

Payment confirmed

The intended project and nominations have a confirmed payment. Check Payments if a transaction is pending.

2

Materials saved

Your text, cover, supporting images, credits and permissions are stored in the project.

3

Submitted

You have selected Save and submit and checked the status in My Entries.

1. Check the project and nominations

Open My Entries and select the project you intend to submit. If you manage several projects, compare the title and nominations before editing. Each project has its own registration, payment and materials.

One project can have several paid nominations, with one set of presentation materials used for those nominations. To add another nomination while registration is open, select Add nominations in the project and complete the separate payment. Check that the nomination appears after payment confirmation.

2. Check payment without paying twice

Open Payments and review the recorded status. If payment is still pending or being confirmed, check that status before starting another payment. Your invoices are available in the same tab. If the status remains unclear, contact ADC with your account email, project title and entry reference; do not send passwords or card details.

3. Review the saved presentation

Final project review
Check What a complete review looks like
Title and description English text is accurate, saved and consistent with the project shown.
Project status The description distinguishes completed work from a concept or proposal.
Cover A valid square cover is uploaded and the intended crop is confirmed.
Supporting materials Images open correctly and add useful information. Optional links are correct where used.
Credits Author or designer, project country and image credits are completed accurately in their dedicated fields.
Permissions Both required permissions concerning submission authority and use of materials are confirmed.
Anonymity The jury presentation follows the competition’s anonymity requirements.

Read the saved version rather than relying on text in another document. Use the description guide and image preparation guide if you need to revise the presentation.

4. Submit and check the status

Select Save and submit. Resolve any missing-field, cover or permission messages, then check that My Entries shows Submitted. If you choose Save as draft instead, return and complete the submission before the deadline.

5. Know which deadline applies

Registration closes separately from submission. Check the current calendar and the precise deadline and time zone shown in your account. Leave time to upload, save and review instead of treating the final minute as a safe target.

The system can automatically submit a paid, complete and saved draft when submission closes, provided all required details, the cover, paid nominations and both permissions are present. An incomplete draft is not automatically submitted. Submit and verify your status in advance rather than depending on this fallback.

What happens after submission?

Once your project has been successfully submitted, wait for the results. They will appear in your participant account after the announcement. Your new account displays only projects registered in the new system; projects from the previous system are not shown there.

After the submission deadline, the original entry is read-only. Contact ADC if you need a correction after closing rather than assuming an edit can still be made.
